Essential Functions

Graduate Program Coordinator for a program with more than 100 students in four separate subdisciplines. Reviews degree requirements with students, advises students on registration and add and drops, and processes advising bars. Refers student grievances to the Graduate Advisor. Handles all aspects of graduate program record keeping including but not limited to student progress, alumni employment, annual evaluations, advisor committees, funding commitments, and endowments. Graduate admissions. Assembles, processes and organizes applicant materials, plans and attends meetings, counsels faculty on applicant information, fellowships and budget, prepares and submits fellowship applications to Graduate School and COLA, maintains correspondence and other communications with applicants and referees, organizes prospective student visits, maintains applicant database and budget, projects current and future budgeting needs for student support as well as follow-up reporting. Responsible for doctoral and master’s candidacy processing, and providing program of work for candidacy applications. Maintains graduate student listserv and communications with graduate students. Maintains all graduate student files. Prepares and maintains statistical reports. Assistant to the Graduate Advisor and Associate Chair. Helps plan orientation meetings with new admits and new student welcome activities. Prepares petitions and correspondence on behalf of the Graduate Advisor and Associate Chair, and helps coordinate evaluation of student performance. Assistant to the Graduate Studies Committee and GSC Chair. Facilitates GSC meetings by announcing them, preparing agendas and other items in consultation with the GSC Chair, and recording minutes. Advertises fellowship competitions and other opportunities and maintains applications for GSC review. Submits applications and nominations to proper agencies. Processes and maintains all TA and AI appointments for the department. Maintains records of funding commitments, tracks budget, and projects future TA needs for each subfield. Tracks TA and AI applications and corresponds with applicants regarding results. Maintains TA and AI waitlists and facilitates TA and AI class assignments in consultation with Graduate Advisor and Associate Chair. Helps coordinate assessment of TA performance. Provides information to Graduate Advisor, Chair, Associate Chair, GSC Chair, and relevant committees on university policies, individual students, and other relevant departmental matters as needed. Acts as liaison between students and Office of Graduate Studies, Graduate Advisors, and Associate Chair

Required qualifications

Bachelor’s degree. Experience working with college students in an administrative or advising capacity. Familiarity with Excel, Word, and other standard office programs. Strong database management skills. Excellent interpersonal, oral and written communication, analytical, and organizational skills. Experience working with confidential information. Team player, as well as able to work independently. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than the required amounts of education and/or experience. Experience working with graduate programs and/or familiarity with graduate policy at the University of Texas at Austin. Experience working with HRMS, DEFINE, and other UT Austin systems.
