Please submit service requests using the methods indicated below:

HRSS is now utilizing DocuSign to route requests that require approvals. When utilizing the HR Pay Action Form , sign in with your full name and EID email (example: abc123@eid.utexas.edu) and enter the access code.

If you have questions, or if you’ve forgotten the access code,  please call HRSS at 512-471-5466 or email us at hrss@austin.utexas.edu. Request types not listed below should be directed to the HRSS email.

Post an existing (vacant) position

If your department obtains approvals at the hire rather than the posting, provide the information listed on the adjacent email template, along with Director approval, to HRSS by emailing hrss@austin.utexas.edu.

If your department obtains approvals at the posting rather than the hire, please use the HR Pay Action Form via DocuSign to request a posting. The Pay Action Coordinator will route for financial and other necessary approvals.

Create a NEW position

Creating a new position requires approvals through the Pay Action Process. Use the HR Pay Action Form via DocuSign to request the creation of a new position. Attach the completed Position Information Worksheet and a proposed org chart to the request. The Pay Action Coordinator will route for financial and other necessary approvals.

Request to Hire

If your department obtains approvals at the hire rather than the posting, utilize the HR Pay Action Form via DocuSign to request a hire. The Pay Action Coordinator will route for financial and other necessary approvals.

If your department obtains approvals at the posting rather than the hire, provide the information listed on one of the two adjacent email templates (select one according to the type of candidate you intend to hire), along with Director approval, to HRSS at hrss@austin.utexas.edu.

Reclassify a position

Reclassifying a position requires approval through the Pay Action Process. Use the HR Pay Action Form via DocuSign to request a Reclassification. Attach the completed Position Information Worksheet and a proposed org chart to the request. The Pay Action Coordinator will route for financial and other necessary approvals.

Request a salary adjustment

Salary Adjustments include: permanent additional duties increase, temporary additional duties increase, equity increase, and counter offers.

Salary Adjustments require approval through the Pay Action Process. Use the HR Pay Action Form via DocuSign to request a salary adjustment. For additional duties requests, attach a list of the individual’s current and additional duties to the request. For counter offer requests, attach the individual’s offer letter to the request. The Pay Action Coordinator will route for financial and other necessary approvals.

Request Supplemental Pay

Supplemental pay includes certifications and shift changes.

If your department requires financial approval for supplemental pay requests, utilize the HR Pay Action Form via DocuSign for supplemental pay requests. The Pay Action Coordinator will route for financial approval.

If your department does not require financial approval for supplemental pay requests, provide the information listed on the adjacent email template, along with Director Approval, to HRSS at hrss@austin.utexas.edu.

Notification of a Separation

Separations include dismissals, resignations, retirements, and transfers outside of your department.

Provide the information listed on the adjacent email template along with a copy of the separation letter and the acceptance of separation to HRSS at hrss@austin.utexas.edu.

Time Entry for Employee & Notification of Leave/Return to Work

If an employee is unable to enter their own time notify HRSS at hrss@austin.utexas.edu and HRSS may assist by entering time for the employee.

If an employee needs to be placed “On Leave” (absence 30 days or greater) notify HRSS at hrss@austin.utexas.edu. Notify HRSS when the employee returns from leave as well.
