Academic Affiliate vs. Contingent Worker
Job Profiles from the legacy “University Affiliate” group have been split into two Worker Types in Workday. Both are unpaid, but there are distinctions for their use in Workday.
- The Adjunct/Clinical title is now an Academic Affiliate Worker Type and is appropriate for those who have an unpaid affiliation with an Academic Unit at the university. Academic Affiliates do not hold positions in Supervisory Organizations, and their relationship to the Academic Unit is created with the Add Academic Appointment process.
- The remaining University Affiliate titles, e.g., Volunteer or Visiting Researcher/Scholar, are Contingent Worker type. Contingent Workers are not university employees and are not paid through Workday Payroll, but they do hold positions in Supervisory Organizations. They are not typically associated with Academic Units. A Contingent Worker relationship to a Supervisory Organization is created with the Hire > Contract Contingent Worker Business Process.
Care should be taken in determining which Unpaid Worker Type is appropriate based on the purpose of the relationship to the university. Correction of the Worker Type can cause issues with the EID picker and other processes and will require a manual deletion by the Operational Support team.

How do I add privileges to a worker in Workday?
- To add privileges to a New Contingent Worker, refer to the Contract Contingent Worker- Workday Instructional Guide
- To add privileges to an Existing Contingent Worker, refer to the Change Job – Extend Contingent Worker Contract – Workday Instructional Guide.
- To add privileges to an Academic Affiliate, refer to the Add Privileges for Academic Affiliate – Workday Instructional Guide.
Note: Employees do not need to have privileges proactively added to their jobs. They will automatically be fully privileged upon completion of the associated business process in Workday.
Which Employees Need to Enter Holiday Time?
Only leave eligible employees qualify for holiday time. When employees Enter Time on the week the holiday time was earned, the holiday time will auto-calculate and will appear on those appropriate days.
Timekeepers and Absence Partners: New Training on Reassign Task
A new Workday Instructional Guide (WIG) has been published on the two ways to Reassign Task for Timekeepers and Absence Partners.
