Holiday Time Guidance for Timekeepers and Time Associates
Normally, on weeks where only one or two holidays occur, holiday hours appear on the timesheet once the employee begins entering time for the week. In advance of the full week of holidays this winter break, the Workday program will be programmatically running calculations for all except noon-noon shift workers to generate their holiday hours for the full week of holidays (December 24-30 only).
We have developed a guidance document outlining how holiday time should work in Workday, how that process is different when there is a full week of holiday, and things to consider including retro time and time for employees with multiple jobs.

The Routing of Absence Payments Updated to Include Two Levels of Approvals
The routing on absence payments has been improved to include two levels of approvals. Below are two scenarios that show how absence payments will route based on who initiates the payment.
If the Absence Partner initiates payment—it routes to:
- Other Absence Partner(s) on the same Supervisory Organization
- If no other Absence Partner exists, the Absence Request will route to the:
- Absence Partner’s Manager
- Absence Partner’s HR Partner(s)
- Absence Partner’s Absence Partner(s)
- If payout at separation, it will route to HR Records Specialist
If the Manager initiates payment—it routes to:
- Absence Partner
- If payout at separation, it will route to HR Records Specialist
Please note that any non-paying absence requests will continue to route to the Manager.
Personal Info Tasks Now Going to All New Workers
All new workers will now receive the “Personal Information” tasks from Workday and will be required to submit that information to proceed with Onboarding. Previously, nonemployees were not receiving the Personal Information task during their Onboarding. Personal Information includes the following:
- Date of Birth
- Citizenship Status
- Ethnicity
- Gender
- Military Status
Workday Approver Training in January
Approver Training will be offered twice in January and will be livestreamed and posted to the Workday website. This training is for Workday Roles who approve business processes including managers and core HR roles. This training will provide an overview of inbox features, routing, and what to look for when approving. See event details below.

Workday Reports Training in January
Workday Reports Training will be offered in early January and will focus on how to navigate Workday reports, what reports are currently available, how to run reports, how to find what security roles can view a report, how to use Workday reporting dashboards, and how to troubleshoot reports and get help. This training is open to any user with a formal Workday role. This event will be livestreamed and video will be posted to the Workday @ UT website after the event. See event details below

January Open Labs: Get Help with Student Transactions at an Open Lab
Get help with your student HR transactions in January by attending a Student Open Lab session. You can bring your niche use cases, your complex cases, or general questions about student employment and receive help from a subject matter expert.
