Privacy Policy for Collection-Based Chatbots

LLILAS Benson Digital Scholarship GPTs use custom actions to search Google Sheet datasets and return relevant rows in response to user questions.

Information processed

When you ask a question, the GPT may send your question to an external Google Apps Script endpoint. The endpoint searches the connected Google Sheet and returns matching rows to the GPT.

The action does not require users to sign in with a Google account. It does not intentionally collect names, email addresses, account credentials, payment information, or other personal information.

Source of answers

The GPT is designed to answer only from the connected Google Sheet dataset. The Google Sheet is read by the Apps Script endpoint using the script owner’s access.

Data returned by the action

The action may return matching rows from the Google Sheet, including row numbers and data from the spreadsheet columns. Do not include private, confidential, restricted, or sensitive information in the Google Sheet unless appropriate access controls are in place.

User responsibility

Users should not submit sensitive personal information, confidential information, passwords, protected student information, protected health information, or other restricted data in their questions.

Data retention

This custom action does not intentionally store user questions or search results outside the normal operation of the Apps Script endpoint. However, Google Apps Script, Google Workspace, and OpenAI/ChatGPT may process technical information according to their own policies and service terms.

Third-party services

This GPT uses OpenAI/ChatGPT and Google Apps Script/Google Sheets. Use of those services is also governed by their respective privacy policies and terms.
