Clinical Research Projects

Grant Funded

Below is a timeline of events and steps for grant notifications, submissions, and awards. Please email the OPeN team to help you through this process.

StepsPre-Award
1.Schedule a meeting with the Pediatric-Neuroscience Research Support team, include collaborators in the meeting.
2.Local Neurosciences Leadership Notification Form
Submit this form to notify leadership of your project’s proposal, estimated budget, and commitments. After submission, email Kendra Koch to be added to the agenda for the next research approval meeting.
3.Sponsored Projects | Proposal Notification (Office of Sponsored Projects/OSP)
This form indicates an intent to submit a grant, including NIH, federal, state, foundation, or other research funding applications. PIs or Co-PIs may not submit proposals, accept awards, or sign contracts on behalf of the university without Office of Sponsored Projects (OSP) approval. All award negotiations must be conducted by OSP. Completing this form initiates OSP review and approval for submission.

Note: Internal grants do not require completion of the Sponsored Projects Notification Form. Please contact a member of the OPeN research support team directly to assist you with internal grant submission.
4.Submit the following documents to the Department of Neuroscience finance team and Monica or Cesar:

▢ Budget & Budget Justification
▢ Facilities & Resources
▢ Proposal Routing & Intake Form

After submitting the Sponsored Projects form, send the Proposal Routing & Intake form to your OSP administration constituent. This form will then be routed for signature to your division/department head.

If you’re in a non-tenure track position and/or leading a DMS-sponsored project for the first time, contact your constituency lead. More information on PI status at UT here.
PI Exemption Request
If you already have PI status in UT RMS, no action is needed.

If not, submit a PI Status Exception request at least 7 business days before the sponsor deadline. Log in with your UT EID and select “Request PI Status Exception.”
StepsPost-Award
1.Contact your administration constituent to initiate OSP and DMS-sponsored projects processes.
2.Contact the OPeN research support team to submit to the IRB and the Ascension Site Approval Tool (SAT), and to coordinate other needed regulatory and research conduct activities.
3.Schedule an introductory meeting between the Pediatric Neuroscience Research Team and the sponsor administrator/collaborating institution responsible for providing contracts, protocols, budget, and other regulatory/administrative documents to UT.

This will allow us to reach out to the department and OSP to inform them of your award.
4.Collaborate with the research team to complete the following:

▢ Submit IRB docs and full protocol to the Departmental Review Committee
▢ Submit an IRB proposal or IRB reliance form with supporting documentation to UT
▢ Complete SAT surveys

After receiving approvals from the UT IRB and the SAT, begin research!
