Please be advised of best hiring information and practices:
- HR postings and hires can take 2-3 weeks for completion. Salary adjustments for reclassifications or additional duties require extra approvals and time to be processed.
- Employees should not begin working until their appointments have been finalized.
- Please provide at least one week notice for new hourly non-benefits eligible appointments to be processed. (Non-benefits eligible are appointments less than 20 hours/week.)
- All student appointments will require an offer letter/email confirmed by the employee each semester.
- Hiring an employee for more than 20 hours/week and longer than 90 days will require a position to be recruited for. Job postings take approximately 3-4 weeks to be finalized but can take longer depending on the time of year.
- Once your position is posted:
- You should interview at least 2 applicants who meet your required qualifications.
- Once you’ve found a potential hire, we will need to submit a background check which can take 2 weeks to clear. We cannot process the hire until the background check is cleared.
- We’ll need a copy of your interview questions, dates of reference checks, and completed recruitment summary sheet showing who was interviewed and reasons they were/were not selected for hire.
- We cannot offer fully remote positions to out of state employees unless we have prior approval from HR.
- Please let us know what the on campus work arrangement will be for the new employee. Anyone with a fully remote or hybrid schedule will require prior approval.
- COLA asks for two weeks’ time to complete the hire process prior to the start date.
Please contact service@prc.utexas.edu with any questions.
All P.I.’s (supervisors and managers) please review the performance appraisal process and timesheet pages.
Important highlights:
Please note GRAs do not submit timesheets.
As part of the selection and hiring process, employees are considered probationary employees for their first 180 days of employment. It is recommended that you conduct performance reviews after 45, 90, and 135 days for each probationary employee you supervise.
