Background Checks – Why Am I Receiving a To-Do?
The Background Check To Do step is configured to be sent to the initiator of the Offer, Hire, Change Job and Add Job business processes in Workday whenever if a sufficient and completed background check is not on file in the Background Check Administration system for the worker. If you feel the To Do step is being sent to you in error, please contact HR Records.
I need to change data on a previous step of business process, what do I do?
Workday does not allow the initiator of a business process to navigate backwards in the business process. If a data attribute from a previous screen needs to be corrected, the initiator can do one of two things:
- Cancel the business process. This will mean the initiator has to start again.If canceling a Hire, be sure to select “Existing Pre-Hire” when restarting the business process as the pre-hire record will still persist even after canceling the hire. For instructions on how to cancel a business process, see the Cancel a Business Process Workday Instructional Guide.
- Submit the business process to the first approver with a comment to “Send Back” the process to the step of the business process in which the error resides.In addition to providing a comment in Workday, it is recommended the initiator contact the next approver separately so the business process isn’t inadvertently approved with the error.
REMINDER: Future Dated Transactions Did Not Convert and Will Need to be Re-entered into Workday
This includes terminations. Please ensure you review any worker records in your area for workers who were terminated with effective dates after 10/25. For a full list of end dates entered in HRMS with effective dates after 10/25, run the EIJG0012 – Separated Assignments report in HRMS for your unit code.
If you think there were transactions (not including terminations) entered into HRMS with effective dates after 10/25 and you cannot locate the list of these transactions sent to your Business Officer and HR Consortium member by HR on October 26, please contact Karen Chawner (karen.chawner@austin.utexas.edu).
New Quick Links and Forms Page; Reminder to Bookmark, not Download as Forms Change Frequently
The Workday@UT website has a new page titled “Quick Links and Forms” that aggregates the production and Qual links to Workday, Report Tools, and the Request Forms System, along with links to forms that appear on the Help & Support pages. Users should bookmark forms and not download them to ensure they have access to the newest versions of forms.
Duo Push Notifications and the Workday Mobile App
Some users may have experienced log in issues when using Duo push notifications with the Workday Mobile App. The best way to use Duo with the Workday Mobile App is to hold down on the Duo notification when it appears and click “approve” on the drop-down menu (see the screen cap below). Workday Downtime and Planned Maintenance Schedule – Workday is Down Every Saturday from 1 AM – 5 AM
Each week, Workday will experience downtime between 1 AM and 5 AM Saturday mornings for routine maintenance and updates. Workday has additional maintenance windows that occur monthly and quarterly in addition to downtime around their major releases. Downtime is always scheduled over weekends. You can locate the maintenance schedule via the Workday website homepage or by visiting this article in askUS.
Workday Release Notes
Now that Workday is live, the program will be issuing daily release notes for the first few weeks of production. Release notes include brief descriptions of fixes, improvements, and new guidance released with links to role-based email communications.
