Release Notes for 1/11
Improvements:
- Changed the wording on the Job Requisition template to provide better clarity
- Added a notification that is sent to Payroll when a Social Security Number (SSN) is added for a worker who was previously issued a temporary SSN
- Report enhancements have been completed that will assist HR Benefits with ACA year-end planning and processing
- Payroll Payment Specialist now has access to the Change No Retro Prior To Date task
- HR Assistant, HR Associate and HR Executive will now receive the student ineligibility reports
- Report used by central Payroll Office has been refined
Fixes:
- Date range launch parameters were extended for the Payroll Actuals Integration
- Allowed for the ability for Cost Center Manager to be able to view Compensation Grades and Compensation Grade Profiles
- Fixed the ability for HR Records Specialist to run RPT0172
- Issues with a time tracking validation not working correctly for Time Off Corrections has been corrected
- Enhancement to RPT 0100 to include full intended population
- The Student Eligibility Engine (SEE) Ineligibility Report is now looking at future semester ineligibility as intended
- A bug causing a validation to trigger unnecessarily has been corrected
- Fixed routing on time entry to require employee approval when the process is sent back
- Updated Time Entry Code so that calculations work correctly
- Issues that caused the longevity integration to run slow have been corrected HR Benefits Specialists have been removed from alternate approver absence requests
- Integration issue with IRRIS compensation report file has been resolved
- New reason “W-2 Healthcare Load” has been created for box 12 on W-2s
- Integration for employee data feed for degree information has been fixed
- Bridging integration has been updated to handle 2019 dates
- Issue with Onboarding Summary not being visible in the Onboarding worklet has been corrected
- Improved data being sent to VRSCO (retirement management system)
- HR SWS Specialist security role is no longer missing the ability to view the student employment management dashboard and worker personal data
- Conversion issues with a small set of non-employees have been corrected
New Known Issues:
- Aware of a commitment adjustments error for positions that have job overlap enabled
- Aware of Work-Study earning limits and balance period adjustments that need to be made in order to support Work-Study processing
- Aware an error that allows users to hire non-employee job profiles into regular employee types
- HR SWS Specialist is unable to change the compensation guidelines for a worker
Guidance:
- The Workday@UT Newsletter for this week provided guidance on handling end employment dates on the Add Additional Job while a bug persists, how to handle the Form I-9 while E-Verify is down due to the government shut down, and improvements to the job application process.
Ongoing and Planned Work:
- Work is being done to improve the integration with Sailpoint (identity and access management system) to send Work Address to the UT Directory. This was prematurely listed as an “improvement” in the 1/7/19 Release Notes but work on this is not yet complete.
Release Notes for 1/10/2019
Improvements:
- All new job applications now required to submit materials (at minimum a resume) before final submitting applications.
- HR SWS Specialists can now access the employment dashboard reports.
- Improved the Correct/Edit Faculty Contracts Report.
Fixes:
- HR Records Specialist now has the ability run state service report.
- Payroll Specialists have been granted the ability to launch an integration.
- During the Create Job Requisition issues with the Secondary Questionnaire not attaching consistently have been corrected. Guidance will be forthcoming via training updates.
- Fixed an issue with the USAS file regarding incorrect mail codes.
- Fixed an integration with the data warehouse to remove individuals with future dated academic tenure dates.
- Fixed an issue with an integration related to Years of Service.
New Known Issues:
- Changes to the student FICA integration to eliminate manual effort by payroll services for managing student FICA exemptions are needed.

Release Notes for 1/9
Improvements:
- Clarified the validation message delivered to non-payroll users on the Edit Government ID Business Process
- Added a validation to Change Job Business Process to not allow Supervisory Organization change unless the reason is Transfer
Fixes:
- An issue with the Worker Benefit ID not being included in the OEB ( UT System Office of Employee Benefits) Inbound Integration has been fixed.
- Sick time donation and emergency university closure hours are now excluded from the total reported hours for a day.
- An enhancement was made to better identify the candidate email within the Assess Integration.
- Job applicants are now required to submit at minimum a resume on job application.
- Various enhancements have been made to Payroll year-end reporting.
- When selecting New Job Requisition>No Posting, users are no longer being prompted to post for the job.
- Added a validation to prevent the Termination Business Process from moving forward when the secondary reason is retirement unless a retirement date already exists for the worker.
- Fixed a calculation error that was occurring when faculty were submitting holiday hours. (Faculty are not required to submit holiday hours)
New Known Issues:
- Central HR Processing Roles are unable to initiate and approve the Close Position Business Process
- Academic A&P Job Profiles are missing corresponding Appointment Ranks
- Longevity Backpay Report is returning inaccurate longevity eligibility in certain instances
- Work-Study demographic integration is not reporting all costing allocation events

- Work is being done to improve the integration with Sailpoint (identity and access management system) to send Work Address to the UT Directory. This was prematurely listed as an “improvement” in the 1/7/19 Release Notes but work on this is not yet complete.

Release Notes for 1/8
Fixes:
- The fringe actuals integration has been fixed to properly handle reverse payroll results.
- Reactivated a comp plan for communication device allowance
- No longer storing last check date if the check amount is $0
- Issue has been resolved with Parking Integration sending wrong Payment Plan ID.
- Workers benefit IDs have been loaded into Workday.
New Known Issues:
- Issues with a time tracking validation not working correctly for Time Off Corrections
- An error is occurring in an integration related to longevity eligibility
- Faculty associates are appearing erroneously in the UT Directory
- Student Eligibility report is returning incorrect year for semester of ineligibility

Release Notes for 1/7
Improvements:
- Migrated implementation report to production to support payroll operations.
- Developed reports that facilitate communication with specified Workday roles.
Fixes:
- Adjusted the SailPoint integration so that retirees appear with the correct status in the UT Directory.
New Known Issues:
- Adjusting USAS integration to pass appropriate fiscal year information.
- Adjusting integration from OEB to provide correct retiree type.
Guidance:
- Workday sent an email to users with guidance on a new bug that is causing end employment dates to be missing from view on Add Additional Job when the initiator submits the first step of the process or “Saves for Later.” Guidance is to indicate the end employment date in the comments of the transaction so that approvers are able to approve with complete information. We expect this to be resolved with the Jan. 11 Workday Update.

Release Notes for 1/4/2019
Improvements:
- The Semi-Monthly Lock Time Entry Schedule was moved to coincide with the time entry deadline of 5 pm on 1/3/19.
- Unapproved Time Off Report removed from the Time and Absence dashboard.
- Added HR SWS Specialist to be able to see Student Employment Management Dashboard and Citizenship Status on the Worker Profile.
Fixes:
- Adjusted view access for Payslips when manual payments result in a zero dollar payment.
- A tax integration was missing the appropriate security roles.
- Enabled the “retry” functionality for E-Verify.
New Known Issues:
- HR Assistant incorrectly has access to Manage Pre-Hire Process
- Retirees are not always appearing with the correct status in the UT. Directory. This is related to SailPoint.
- A small bug is preventing the FICA logic working correctly.
Guidance:
- Human Resources sent guidance to I-9 Partners on how to handle the I-9 Form while E-Verify Services are not operational due to the federal government shutdown.

Release Notes for 12/24/18-1/3/19
Improvements:
- The validation message on Change Organization Assignments for Worker was improved.
- The Budget Quarterly FTE Report has been deployed to the Budget Office.
Fixes:
- A payroll earning was updated so that it reflects correctly on the W-2 form.
- An issue with grant begin and end dates not being considered correctly during the assign costing allocation business process has been fixed.
- A condition rule in the Assign Costing Allocations business process causing the process to route to HR Executive when the employee is faculty has been fixed.
- A report used by Payroll for W-2 calculations was fixed.
- An issue with the routing for time entry involving the Time Associate role was fixed.
- Incorrect flex amounts being sent to Office of Employee Benefits have been corrected.
- Semi-Monthly Period Schedule was not reflecting accurately in Workday and has been corrected.
New Known Issues:
- Payroll year-end reporting require various enhancements.
- Worker with unsubmitted time is not appearing on RPT0153 – No Timesheet Entered Report
- Adjust view access for Payslips when manual payments result in a zero dollar payment.
- Issue with UTLearn inactivating account based on incorrect position in Workday
- The fringe actuals for 5 workers would reverse payroll results were incorrect in the file run for November
