SDCT encourages faculty and staff to host guest artists and speakers whose presence will benefit the students, staff, faculty, and community. To request a guest artist please submit your request here. Please make sure to have your supervisor(s)’ approval prior to filling out the request.
Below is the information you will need to provide:
- Guest Artist name and contact information
- Honorarium amount
- Are they a returning guest? Are they a current employee?
- Start and end dates of service
- Description and qualifications of service
- Will they be traveling? If so, please include what the department will be covering (ex: hotel, airfare, ground transportation, per diem) as well as how much the department will be covering (ex: up to $2000).
- Anything special about their visit: are they being hired as a guest resident, giving a special talk outside of classes and SDCT, are there any special requests, etc.
How the process works:
- The Faculty Host will complete the Guest Artist submission form here.
- The Finance Team will reach out the Guest Artist to collect important documents such as their EID, direct deposit information, and their Payee Information Form.
- Once the Guest Artist completes these forms, a purchase order (PO) will be created and sent to the Guest Artist to confirm the honorarium amount and service date(s).
- If applicable, the Finance Team will work with SDCT host and Guest Artist to plan flights, hotel, and any other travel arrangements.
- Guest Artist will visit SDCT.
- The Finance Team will email (via Docusign) the SDCT host to confirm the Guest Artist’s services. We will also email (via Docusign) the Guest Artist to sign an invoice.
- The Finance Team will process payment once we receive the signed invoice. The Guest Artist should expect payment within 30 days of the date we receive their signed invoice. If the Guest Artist completed the direct deposit form, payment will be made through the bank on file. If the direct deposit form was not completed, payment will be mailed to the Guest Artist’s address on file.
Note: If the Guest Artist is a current UT employee, the signature process will be slightly different. Also, payment will be processed through Workday and will be included in their paycheck.
