Position Summary

The Academic Program Administrator is expected to support, execute and promote this commitment in their day-to-day responsibilities.  Under the direction of the Assistant Vice President for Academics, Global Programs in New York, this position, located in Prague, Czech , will provide direct academic operational support to NYU’s Global Study Away Sites. Administer academic programs and logistics; Coordinate matters related to academic developments and registrations at the global sites; and with schools and departments in New York, Shanghai and Abu Dhabi;  Investigate and resolve student inquiry; Assist with academic accessibility compliance; Assist with new software,applications and technology or enhancements to existing technology; Provide real-time training to academic teams and faculty as needed; Facilitate student tutoring arrangements; Conduct analysis as needed and generate reports; and, Maintain websites for completeness and accuracy. This position is expected to work up to three days per week in the office and remote otherwise.

Principal Duties

– ACADEMIC OPERATIONS: Working with the Assistant Vice President, and the Academics Team in NY and at each EHSAS, manage various academic operational activities including:  Assist with class registrations, collect and update records on syllabi review and assist with academic accessibility compliance relating to syllabi and other course materials, and faculty CV, semester registration processes (course set up, analyzing course enrollment, drop/add process), assist sites in administering course evaluations, internship program support, including resume and application review; review and ensure academic content on NYU’s website is current and accurate; Facilitate tutoring arrangements. Other duties as assigned. (35%)

– STUDENT INQUIRY RESOLUTION:  Use independent judgment to prioritize, timely respond to, and resolve academic related student inquiries. Coordinate between academic departments, university center offices (registrar) and respective global sites to gather necessary information to resolve matters.  Maintain appropriate records. Develop key metrics to monitor trends in the nature of issues and make recommendations for possible improvements. (30%)

– TRAINING: Assist with new software or enhancements to existing software such as Student Information Systems (SIS), Content Management Systems (CMS) Learning Management System (LMS), University Data Warehouse Plus(UDW+) etc; Provide real-time training to academic teams and faculty as needed; (20%)

– Conduct analysis as needed and generate reports; and, Maintain websites for completeness and accuracy. (15%)

Qualifications

Required Education

Bachelor’s Degree

Required Experience

3 years of relevant experience including implementing administrative activities and advising students or an equivalent combination of education and experience

Required Knowledge, Skills and Abilities

Proven excellence in organizational, planning, communication, interpersonal and analytical skills. Ability to independently interpret policies and procedures, and communicate effectively, both in verbal and writing, to a diverse population at all levels. Self-motivated and with a high level of initiative. Energetic and collaborative team member. Flexible and patient (adaptable in a fast-changing environment). Advanced knowledge of Excel and PowerPoint. Working knowledge of budgeting and various software applications including CMS and student information systems.
