Bates Recital Hall

General Usage Notes

When using Bates, all direction from the Production Manager and stage managers must be followed (this includes instructions about and during load-in, load-out, rehearsals, dress rehearsals, and performances).

When finished rehearsing in Bates, always strike the stage and remove your equipment from backstage unless instructed otherwise by the Production Manager and always:

  • Pay close attention to your in and out time in ArtsVision
  • Leave pianos/harpsichord closed and covered at center stage. Instrument covers should never be placed on the floor.
  • Leave backstage doors and ADA door closed (no need to lock)
  • Leave stands and chairs in backstage in an orderly fashion according to signage
  • Never block marked fire exits (stage right/left) with equipment or setups

Hall Resources

  • 615 seats plus space for 12 wheelchair & companion seats between three ADA areas
  • Approximately 3 ADA areas
  • Stage is approx. 60’x 36’
  • Two Steinway D 9ft concert grand pianos
  • Tracker organ
  • Backstage area with video monitor
  • 1 dressing room
  • Audio recording and multi-camera video
  • 3 wireless microphones available during staffed events
  • 6 optional acoustical shells (very limited use)
  • 120 chairs (approx.)
  • 60 stands (approx.)

Wireless Microphones

Any staffed event will have access to up to three wireless microphones. While these are excellent for speaking to audiences, they may not be ideal for sound support. Sound support requests should be sent to recording services (astoltz@austin.utexas.edu) at least one month prior to the recital date to determine availability of that service.

Generally speaking, wireless microphones are not provided for dress rehearsals. If this is critical to your rehearsal, contact the production manager (tweller@utexas.edu) with your request at least 5 business days in advance of the rehearsal.

Scheduling & Hall Access

In order to use the hall, you must have a reservation. It is crucial that the schedule in Bates be strictly adhered to. Please double check your in-time and out-time in ArtsVision for every reservation you have in the hall. If you are confused about your reservation time, please contact the scheduling office. Early setups, staying past your reservation, additional equipment storage backstage, access to audio cabinet, organ loft or dressing rooms must be cleared with the scheduling office or the production manager with ample time for planning.

If you have an ArtsVision reservation in Bates the backstage door will be left unlocked for you. If you arrive to find the hall is locked, please check with the Music Service Center (MSC) first. If the MSC is closed, please contact the following staff members (in this order):

Russell Podgorsek (512-471-2725)
Travis Weller (tweller@austin.utexas.edu)
Page Stephens (512-232-6290)

Equipment requests

All events in Bates, unless otherwise arranged with production staff, will take place on a clear stage with the canopy in its default position. If you have requests for modifications to this setup, please contact the production manager (tweller@utexas.edu) with as much advance notice as possible. Ideally, these requests would be made before the start of the semester in which they take place. Because of the busy schedule in this hall, equipment requests made less than 30 days prior to the event are unlikely to be accommodated. Depending on scheduling and staff availability, equipment scheduled for performances may not be available for rehearsals.

Lighting

Bates is equipped with a simple lighting system geared toward large and small ensemble performance. The button controller backstage is labeled with descriptions of each setting and artists may try them out during rehearsal times. The vast majority of ensembles will find one of the 7 settings pre-programmed for the hall appropriate for their event. We do not allow ensembles direct access to modify these lighting settings. Small variations in the look on stage are possible, but color capabilities in this hall are very limited and we cannot refocus lighting instruments or provide spotlights. Please contact the production manager (tweller@utexas.edu) for additional information. Lighting requests made less than 30 days prior to the event will not be accommodated. Due to limitations with the button controller, special lighting may be unavailable during busy times of the semester.

Chairs & Stands

Stands and chairs in Bates are to remain there. If there are circumstances that require those materials to be moved out (and approved by Production Manager), you must return them.
